The first time I hired a contractor, I picked the friendly guy with the lowest number and shook on it in my driveway. That cost me three weeks of delays and a kitchen that sat half-finished while I figured out what "we'll sort that out later" actually meant. Now I have a process, and it starts long before anybody picks up a tool.

Hiring someone to work on your home is not like buying a lawnmower. This person is going to be inside your walls, around your family, for days or weeks. So the bar I set isn't just "can they do the job" — it's "do I trust them in my house," and I've learned to weigh both equally.

Trust your gut, and the chatter around them

I pay attention to my first reaction. If something feels off in the first conversation — they dodge a direct question, they talk over me, they get cagey about pricing — that's data, not paranoia. The contractor you choose will be a near-daily presence, so you should feel at ease talking to them. Communication problems on day one only get louder once money is on the line.

I also listen to what other people say. A neighbor who mentions a guy was "fine, but always late" is telling you something real. If I hear repeated negative remarks or pick up bad rumors, I move on. There are plenty of capable people out there; I don't need to gamble on the one with a cloud over him. Word of mouth is the single most reliable signal I've found.

Demand proof of license and insurance

This is the part people skip, and it's the part that can ruin you. I ask for a license number and I actually check it with the state board. A licensed contractor has passed an exam, which means they know local codes and the permit process — and they're far less likely to cut corners or vanish with a deposit.

Insurance matters even more. If an uninsured worker gets hurt on my property, I can be on the hook for it. So I ask for a current certificate of liability and workers' comp, and I confirm the dates haven't lapsed. A serious pro hands this over without flinching. Anyone who treats the request as an insult is telling you exactly who they are. While they're working, I also keep a basic first aid kit in the garage, because job sites have sharp edges and accidents happen.

Match the contractor to the actual job

Being a good contractor in general doesn't mean being right for your specific project. A guy who frames additions all day may not be the one I want tiling a bathroom. I look for someone with direct, recent experience in the exact work I need, because that's who handles the surprises gracefully — the rotted subfloor, the wiring that isn't to code, the thing nobody could see until the wall came down.

I also ask flat-out: are you doing this work yourself, or using subcontractors? Both can be fine, but I want to know who's showing up at my door. If subs are involved, I ask which companies, and I expect a straight answer. Surprises about who's actually in my house are not the kind I tolerate. For my own peace of mind I keep a few smart door lock codes handy so I can manage access without handing out a physical key.

Put everything in the contract

A handshake is worthless when there's a dispute. Before any work starts, I want a written contract that nails down pricing, the specific brands and materials being installed, and firm start and finish dates. The more detail, the fewer arguments later.

One thing I watch for: a contractor who gives a price range instead of a number. If the quote is "somewhere between X and Y," guess which end you'll land on. I push for a real figure, and if there's a genuine unknown — say, we won't know the framing condition until demo — I want that written as a specific allowance, not a vague shrug. Anything ambiguous in the language, I ask to have spelled out before I sign. If I can't get it in writing, I don't sign.

Set the ground rules before day one

The last conversation before work begins is about expectations. I cover the work schedule, when I need the project done, whether they can use the bathroom, where they can park, and how they'll handle cleanup at the end of each day. These sound small, but they're the things that breed resentment when nobody discusses them.

For longer jobs, I schedule regular check-ins to walk the work in progress. Catching a problem at the rough-in stage is cheap; catching it after the drywall is up is expensive. I keep a tape measure and a notebook handy at these walkthroughs so I can flag anything that drifts from the plan while it's still easy to fix. And once the dust settles, a decent shop vacuum makes the final cleanup my problem to finish, not theirs to half-do.

Document everything as you go

Once work is underway, I keep a simple paper trail, because memory is a terrible record when a dispute flares up. I photograph the work at each stage — before demo, at rough-in, before anything gets closed up — so I have proof of what was actually done behind the walls. I save every invoice, every change order, and every text where we agreed to something. A cheap label maker and a folder by the door keep receipts and warranty cards from vanishing, which matters the day an appliance or fixture fails and I need to prove what was installed and when.

This isn't about distrust — most contractors are honest and most jobs go fine. It's about removing ambiguity so that when a question comes up, there's a clear answer instead of two people remembering things differently. The good contractors actually appreciate it, because clear records protect them too.

Finding the right contractor takes real effort up front. But every hour I spend vetting saves me days of grief later. The cheapest bid is rarely the cheapest job — the trustworthy, licensed, detail-oriented one almost always is.
